As an Administrator, you will be responsible for creating new user profiles in Nexonia. Non-Administrators cannot create profiles for themselves. This must be done by an internal Administrator within your company.
Note: If your Nexonia account is integrated via web services with an ERP or accounting software listed below, please click on the link for specific instructions for adding new users via ERP integration:
Adding a New User in Nexonia
To create a new user profile in Nexonia, please follow these instructions:
- Navigate to Settings > Users > Users.
- Click the Add button to add the new user and create the new user record.
User records have several fields available – we’ll cover some common ones used and indicate which are required:
Employee Number (optional, may be used in your export to identify the employee)
Email Address (required – this will be the user’s login credential)
First Name (required)
Last Name (required)
Region (required)
Role (required)
Manager (optional, use if the approval process will be using this value to direct the approval workflow)
Temporary Approval Proxy (optional; used to set who can act as approver temporarily if this user is out of office. The permission is enabled based on Start and End Date.)
Notification (optional): if you want to notify your new user they have Nexonia access immediately, select “Notify User and Send a Reset Password Link”. Otherwise leave as default “Don’t Notify User” and you can notify the user later by navigating to the User list and clicking the key icon next to their name.
Click the Apply button when done.
Once you have successfully created the user record, the account must be activated by the user. The administrator can use the Password Reset notification to send the user an email to get them started - in the Users list, this is the key icon next to the user name. The user will need to access the website, and set a password for their new account.
Notes: User records typically have a field that is a unique identifier for that employee, which is used to identify them in the export into your accounting software. This will be labelled based on your organization's configuration, but may labelled "Vendor ID", "Vendor Code" or "Employee Code".
