Nexonia allows administrators and authorized users to export historical data for selected modules, users, and date ranges. Depending on your export selections, Nexonia creates a CSV, PDF, JSON, or one or more ZIP files containing your exported data and any included attachments.
Prerequisites & Permissions
To create and run a Historical Data export, your user role must have Run, Design, or Share access to Reports.
If you do not have access to the Reporting module, contact your Nexonia administrator.
How to Access the Export Tool
- Log in to your Nexonia account.
- Select Reporting from the top navigation bar.
- Select the Historical Data tab.
Configure Your Export Settings
On the Historical Data tab, configure the export based on the data you need.
Module
Select All enabled modules or choose a specific module:
- Expenses
- Timesheets
- Time Off
- Accounts Payable
- Purchase Orders
If you select All enabled modules, the export is provided as a ZIP file with attachments included.
Format
Select the file format for your exported data:
- CSV - selected by default and recommended for best results
- JSON
Start Date and End Date
Enter the date range for the data you want to export
-
Dates must use the MM/dd/yyyy format
For example:
01/31/2026
User
Select a specific Nexonia user to export data for, or select All to include data for all users in your company.
Include Attachments (ZIP)
Select Include attachments (ZIP) to include uploaded receipts and other file attachments with your exported data.
Exports that include attachments are provided in ZIP format.
Generate the Export
- After configuring your export settings, select Generate.
- Nexonia displays the following message:
Export started. You will receive an email when it is ready.
- The export continues to process in the background. You can leave the Historical Data tab or navigate to another area of Nexonia while it processes.
- If a Cancel button appears, selecting it clears the export status from the page. It does not stop the background export, which may still complete and send you an email.
Large exports may take additional time to process. You do not need to keep Nexonia open while you wait for the export to finish.
Download Your Export Data
When the export is complete, you can download your files from the Historical Data tab or from the email notification sent by Nexonia.
Method 1: Download from the Historical Data Tab
Return to Reporting > Historical Data.
When the export is ready, Nexonia displays a confirmation message and the appropriate download option.
Single-file exports
If your export produces one file, select Download to save the file.
Multi-year exports
If your export produces files for multiple calendar years, select Download all years.
Each calendar year is provided as a separate ZIP file.
Your browser may ask for permission to download multiple files. If prompted, allow multiple downloads to save each file.
Method 2: Download from the Email Notification
When the export is complete, Nexonia sends an email notification to the user who initiated the export.
For a single-file export, the email contains a link to the completed export.
For a multi-year export, the email contains a separate download link for each calendar year.
Note: You must be signed in to Nexonia to download files from either the Historical Data tab or an email link.
Troubleshooting
If your export does not complete successfully, try reducing the scope of the export by selecting a shorter date range, fewer modules, or excluding attachments.
If Nexonia indicates that the export stopped making progress or could not start, wait a few minutes and generate a new export.
If you receive an error that includes a reference code, provide that code when contacting Nexonia Support.
