Nexonia supports a Daily Commute feature for mileage expenses. A Daily Commute is a periodically recurring travel between one's place of residence and place of work.
Administrators can apply a Daily Commute value globally to all employees in the company, or a specific value to individual users. When users create a Mileage expense item, Nexonia will automatically split the expense item into two: reimbursable mileage and non reimbursable commute mileage.
For example, imagine Sammy has a Daily Commute value of -20 miles. If Sammy creates a Mileage expense item for 37 miles, which includes her travel from Home to Client A, and then from Client A to Client B, Nexonia will automatically create a “Commute Item” for -20 miles. Sammy will then be reimbursed the difference of 17 miles.
Note: Daily Commute is enabled in the Mileage Expense Category. For ease of use, administrators may want to consider creating two expense categories: one for commuter mileage and one for non commuter mileage.
ADMINISTRATOR INSTRUCTIONS: HOW TO CONFIGURE DAILY COMMUTE MILEAGE
To enable the Daily Commute feature, log in to Nexonia as an Administrator.
Click Settings > Company > Features.
Click Edit.
Scroll down and check the box next to Support Daily Commute. This will populate a text field for Global Daily Commute. Here you can indicate a Daily Commute value, in Miles or Kilometers, which will apply to all employees in the company. Then click Apply.
Alternatively, Administrators can apply a specific Daily Commute value to individual users. To do this, click Settings > Users. Then click on the pencil icon beside the user name.
Scroll down. You’ll see a field called Daily Commute. Here you can indicate a Daily Commute value, in Miles or Kilometers, which will apply only to this specific User. Click Apply.
Note: the Daily Commute value at the User level will always override the Global Daily Commute value that you indicated in the Features.
Next, click Settings > Company > Expenses > Categories.
Click on the pencil icon beside the Mileage expense category.
Check the box beside Track Daily Commute. Click Apply.
You are now tracking Daily Commute Mileage!
