To create a mileage expense item, create or open an expense report. Within the report, tap on Add Item > Create a New Item. Scroll down to the Category field and select your mileage category. Tap on Locations to begin entering mileage information.
Based on your configuration, there are 3 possible ways of entering mileage. You will only be required to use 1 method.
Location Based Services (Google Maps)
Using google maps to calculate your distance is achieved by entering in Waypoints. They can be entered upwards of 6 times or as few as 2 by tapping on Add Waypoint. On the mobile app, waypoints can be populated in 4 different ways.
- Tap on to retrieve an address from your mobile address book contacts.
- Tap on to retrieve a list of recent locations entered in Nexonia.
- Tap on My Location to populate your current GPS coordinates
- In the address field, enter in an address or landmark (eg. airport name or code)
Tap & hold the icon to re-order the waypoints.
Toggle the Round Trip switch if you returned to the first waypoint. Tap Generate map.
Google maps will calculate the total distance and create a map that will be linked as a receipt. The distance will be automatically populated in the at the top (can be overridden in case of detours by tapping on the value and adjusting accordingly). Tap Save to populate the information in an expense item.
The Distance multiplied by the Rate will populate the Total value.
Manual Entry
You may be able to manually fill in your distance into the Distance field to calculate your mileage. If so, fill it in. The Distance multiplied by the Rate will populate the Total value.
Odometer Values
Enter in your starting and ending odometer values to calculate your mileage. The distance will be automatically populated in the Distance field. The Distance multiplied by the Rate will populate the Total value.
Tap Save to create the expense.
